Know who is qualified, for what work, and on what evidence

We connect role requirements, training, assessments, certifications, renewals and individual records, so a readiness question has an answer on a screen rather than a two-day reconciliation behind it.

A completion transcript does not answer the qualification question

Qualification is rarely one thing. It is the sum of several, and when they live in separate places nobody can see the whole status.

A single qualification can depend on courses, written exams, observed performance, on-the-job task sign-offs, external certifications, medical clearances, documented experience, supervisor approvals and a recurring renewal cycle.

Track those separately and one of two things happens. Either a gap goes unnoticed until somebody is assigned work they are not qualified for, or your team spends two days proving a status that should have been visible on a screen.

Holding the requirement and the evidence in the same place is the whole point.

Manage the requirement and the evidence together

  • Define qualifications by role, job, site or program
  • Connect each qualification to the activities and evidence it requires
  • Track individual progress, gaps, expiries and renewals
  • Document assessment, observation and on-the-job training completion
  • Keep the history and the supporting records together
  • Report readiness across teams, roles and locations
  • See what is affected the moment a requirement changes

Asking whether somebody is current should not need database access

A supervisor with that question is the real test of whether your qualification record is doing its job.

One record, four people asking different questions of it

The same status answers something different depending on who is looking.

Training teams

Administer and maintain

Set the requirements, keep program records current, and stop reconciling the same data across systems every quarter.

Supervisors

Confirm before assigning

Check readiness before putting somebody on a task, without asking the one person with system access.

Employees

See their own status

What they hold, what expires when, and what they still owe. In Qlarity this is the Employee Portal.

Compliance and leadership

Retrieve, and see risk

Pull the evidence behind a request, spot exceptions before somebody else does, and see readiness across sites.

Why customers put the records in one place

By implementing Qlarity into our program, we wanted to have a structured and organized system for all the records we keep in our training program. We wanted a streamlined way to access any information, evidence, or records that we might need.

Qlarity does all the things that we hoped it would.

Frequently asked questions

What comes up before an engagement is scoped.

What counts as evidence of qualification?

Whatever your program says counts, which is rather the point. Usually a combination of training completion, a written assessment, observed performance signed by a named evaluator, on-the-job task sign-offs, and any external certification or clearance the role requires. The system holds the requirement alongside the evidence, so status is derived rather than asserted.

How is this different from an LMS?

An LMS records that learning happened. A qualification record answers whether a person is ready for specific work, and holds the evidence behind that judgment. Most regulated organizations need both, and we have written the difference up in full.

Can it handle recurring requalification?

Yes, and this is usually the first thing that breaks in a spreadsheet. Renewal cycles, grace periods, and what happens to a qualification when the underlying task list changes are all managed rather than tracked by hand.

Do we need the services as well as the software?

Yes, and that is how these engagements are built. The software holds the record; the services get your structure right in the first place and keep it right as the work changes. Customers who take both together get a working program rather than a license and a backlog, which is why our engagements are scoped as an ongoing program relationship with a named technical account manager rather than a one-off project.

Bring us one real qualification path

Pick the messiest one. We will map its requirements and its evidence, then show you how it would be managed rather than describe it.
